01 Who we are
IceFishingCL is a licensed fly fishing outfitter registered in Chile, operating the website icefishingcl.pro. For the purposes of the EU General Data Protection Regulation (GDPR), the UK GDPR and Chile's Law No. 19.628 on the Protection of Private Life, IceFishingCL is the data controller for the personal data described here.
Contact for all privacy matters: privacy@icefishingcl.pro, or by post to Calle Baquedano 120, Coyhaique, Región de Aysén, Chile.
02 Data we collect
Data you give us
- Enquiry details — name, email address, telephone number, country of residence, preferred destination, travel dates, group size, casting experience and anything you write in the message field.
- Booking details — postal address, passport name and number, date of birth, flight details, travel insurance policy number, emergency contact, dietary requirements and any medical information you choose to share so guides can keep you safe in remote areas.
- Payment details — the bank reference for transfers. Card payments are processed by our payment provider; full card numbers never reach our systems.
- Correspondence — emails, WhatsApp messages and call notes relating to your trip.
Data collected automatically
- Server logs — IP address, browser type, referring page, and the date and time of each request, recorded by our hosting provider for security and troubleshooting.
Health and dietary information is a special category of data under the GDPR. We ask for it only where it is needed to run a trip safely, we process it on the basis of your explicit consent, and we share it only with the lodge and guide who need it.
03 Why we use it
- To answer your enquiry and prepare an itinerary and quotation.
- To make the reservations your trip requires — lodges, flights, transfers, licences and park permits.
- To run the trip safely, including emergency and evacuation arrangements.
- To take payment and meet accounting and tax obligations.
- To send trip-related messages, and — only if you ask for it — occasional season and availability news, which you can stop at any time.
- To keep our website secure and to understand, in aggregate, which pages are read.
We do not sell personal data, we do not share it with advertisers, and we do not use it for automated decision-making or profiling.
04 Legal basis for processing
| Purpose | Legal basis |
|---|---|
| Answering an enquiry | Steps taken at your request before entering a contract |
| Delivering a booked trip | Performance of a contract |
| Health and dietary needs | Explicit consent (GDPR Art. 9(2)(a)) |
| Accounting records | Legal obligation under Chilean tax law |
| Season newsletter | Consent, withdrawable at any time |
| Website security logs | Legitimate interest in protecting the site |
06 International transfers
Your data is stored in Chile and in the European Union, and is shared with suppliers in Chile and Argentina. Chile is not the subject of a European Commission adequacy decision, so transfers of data from the EEA or the UK are made under the European Commission's Standard Contractual Clauses (and the UK International Data Transfer Addendum where applicable), together with the safeguards those clauses require. A copy of the relevant clauses is available on request.
07 How long we keep it
| Record | Retention |
|---|---|
| Enquiries that do not become bookings | 24 months, then deleted |
| Trip and booking files | 7 years after the trip |
| Health and dietary notes | Deleted within 60 days of the trip ending |
| Invoices and accounting records | 7 years (Chilean tax law) |
| Newsletter subscription | Until you unsubscribe |
| Server logs | 90 days |
08 Your rights
Wherever you live, you may ask us to show you the data we hold, correct it, delete it, or stop using it. If you are in the EEA or the UK you also have the right to restrict or object to processing, to receive your data in a portable format, to withdraw consent at any time, and to complain to your national supervisory authority.
If you are in California, you have the right to know what personal information we collect, to have it deleted, to correct it, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined by the CCPA/CPRA. If you are in Canada, PIPEDA gives you access and correction rights and a right to complain to the Office of the Privacy Commissioner.
To exercise any right, write to privacy@icefishingcl.pro. We reply within 30 days and may ask one question to confirm your identity. There is no charge.
10 Security
The site is served over TLS. Booking files are held in access-controlled systems with two-factor authentication, and only the planner, the guide and the lodge involved in your trip can see them. Backups are encrypted. Should a breach occur that is likely to put your rights at risk, we will notify the relevant supervisory authority within 72 hours and tell you directly without undue delay.
11 Children
Our trips are sold to adults. We do not knowingly collect data from anyone under 16 except as part of a family booking made by a parent or guardian, who provides those details on the child's behalf. If you believe a child's data has reached us in any other way, write to us and we will delete it.
12 Changes and contact
When this policy changes we update the version and effective date at the top of the page, and if the change is significant we email anyone with an open enquiry or booking. Earlier versions are available on request.
Questions, requests and complaints: privacy@icefishingcl.pro. If you are not satisfied with our answer you may complain to your local data protection authority, or in Chile to the Consejo para la Transparencia.
